Watch tracked time turn into paid invoices

What it does

What this feature does

What it is

Eliminate the friction between doing the work and getting paid for it. Our unified value flow ensures that every hour tracked moves effortlessly through approval, rating, and invoicing without ever needing to be re-keyed or exported to a spreadsheet.

Who needs this

The same billable value travels the whole spine without a single manual hand-off. Nothing is re-entered or leaks between tools.

Setup

How an hour becomes money

Track the hours

Work is logged against a client, project and task, and each entry keeps the rate that applied.

Approve the time

An approver signs off the period. Only approved time can move any further than this.

Put it on an invoice

Approved entries are picked into invoice lines, grouped by project, person and day.

Record the payment

When the money arrives you record it against the invoice, and the balance is worked out again.

For owners and admins

What admins and owners see

Follow one hour end to end

An invoiced entry points at its invoice line, so any payment can be traced back to the hours behind it.

Freeze what has been billed

Closing a period locks approved hours, so the numbers under a sent invoice cannot move afterwards.

Correct without rewriting

A fix after a lock is a separate adjustment row, so the original record stays as it was.

For your team

What your team sees day to day

Log it once

You enter time once and it carries all the way through. Nothing is retyped for billing.

See what has been billed

An entry shows when it has been invoiced, so you can tell settled work from work in progress.

Timesheets

Timesheets your team submits on time

Hours build into a timecard as people work. Send the week for approval, lock it once it is signed off, and bill from a number that cannot quietly change.

A worked example

From 42 hours to money in

A month of work comes to 42 hours logged. The timesheet is approved, and the five tier resolver settles the rate at $180 an hour. That becomes INV-0044 for $7,560. The client pays it, the invoice clears, and the hours behind it are locked.

Good to know

Limits and edge cases

  • Only approved time can be invoiced, so an unapproved week simply will not appear in the picker.
  • A payment has to be in the invoice currency. Convert it before you record it.
  • Once a period is locked, corrections are made as adjustments rather than edits.
  • Recording a payment is bookkeeping. No card is charged by this step.
FAQ

Frequently asked questions

What is the value flow?
The value flow is the automated journey of a billable hour from the moment it is tracked on a timer to the moment it is paid on an invoice.
How does it reduce administrative work?
By eliminating manual data entry. Approved timesheets automatically generate accurate invoices without anyone needing to copy numbers into a spreadsheet or accounting tool.
Does it handle different billing rates?
Yes, as time flows through the system, it is automatically assigned the correct billing rate based on the project, person, or task.
What happens if a timesheet is rejected?
If a timesheet is rejected during the approval stage, it is sent back to the employee for correction before it can move forward to billing.
Can I see where an hour is in the flow?
Yes, every time entry has a status indicator (Logged, Approved, Invoiced, Paid) so you always know exactly where it stands.
Does it integrate with my accounting software?
Marking an invoice paid updates the revenue picture inside TimeTracker. It does not reach your accounting tool on its own, because there is no QuickBooks or Xero sync. Export the figures to CSV when you need them there.
Can I exclude certain hours from the flow?
Yes, you can mark specific time entries as non-billable, and they will be excluded from the invoicing stage of the flow.
How does it handle fixed-fee projects?
For fixed-fee projects, the value flow tracks the internal cost of the hours against the budget, while invoicing based on predetermined milestones.
Is the value flow customizable?
You can change the approval routing and the invoice format. The link between tracking and billing stays automatic either way.
How does this prevent revenue leakage?
Because nothing requires manual transfer between systems, there is zero risk of an approved billable hour accidentally being left off an invoice.
