Keep projects on track and in budget
What this feature does
Project management is about protecting your time. TimeTracker lets you set up milestones, hourly estimates, and client budget limits. As your team logs time, dashboard indicators warn you of budget burns, letting you flag potential scope creep with clients early.
The board and the timesheet are the same system, so a task moving across the board also spends the budget. Most project tools cannot see the hours at all.
How to set up project management in TimeTracker
Create the project
The project gets a short key from its name, like CL, and that key is unique in your workspace.
Set up your board columns
Sections are the columns. One of them is the done stage, which completes any task moved into it.
Add tasks and subtasks
Each task takes the next number for that project, so you get ids like NW-142 to refer to.
Assign the work
Pick an assignee and any collaborators. A new assignment sends that person a notification.
What admins and owners see
Change many tasks at once
Select a group of tasks to set priority, set an assignee, add a tag, move them, or delete them.
Mark what blocks what
A task can depend on another one, so the board shows the blocker's title and its stage.
Save the filters you use
A saved filter narrows the board and the list the same way, and a parent stays visible if a subtask matches.
What your team sees day to day
Drag a card to move it
Dragging a card between sections sets its new place. Dropping into the done stage completes it.
One level of subtasks
A task can hold subtasks, but a subtask cannot hold its own, so a board never nests without end.
Repeating work comes back
A recurring task creates the next one when you finish the current one, one at a time.
Popular features
Employee time tracking your team will actually use
One click starts a timer, or people type hours in by hand. Every entry ties to a client, project, and task, so the record stays clean.
Explore Time Tracking→See where the time really goes
Break hours down by client, project, and team member. Find the work that pays off and the projects that run over.
Explore Reports & Dashboards→Bill for every hour you earn
Mark each entry billable or non-billable while you work. Approved hours roll straight into reports you can bill from.
Explore Billing→Timesheets your team submits on time
Hours build into a timecard as people work. Send the week for approval, lock it once it is signed off, and bill from a number that cannot quietly change.
Explore Timesheets→Configure custom rates for every agreement
Manage complex billing agreements with ease. Set client rates, assign member role pricing, and handle multi-currency projects with zero confusion.
Explore Rates→Invoicing software that bills from tracked hours
Approved time turns into itemised invoice lines with tax and multiple currencies handled for you. Check it over, then send it.
Explore Invoicing→Expense management software built for client work
Log a cost against the project it belongs to, attach the receipt, and send it for approval. Approved expenses go on the client invoice.

Three cards across one board
The Northwind Q3 Campaign board holds NW-148, write launch email, sitting in To do at low priority. NW-142, design homepage hero, is In progress at high priority with Derek Mullins on it. NW-139, set up analytics, is already Done. Dragging NW-142 into Done completes it.
Limits and edge cases
- Subtasks stop at one level. A subtask cannot have subtasks of its own.
- A recurring task unrolls one step at a time, so finishing it is what creates the next one.
- Deleting a task also deletes its subtasks, comments, files and dependency links.
- A filter that cannot be read hides tasks rather than showing everything, so nothing leaks by accident.
- Two projects cannot share a key. A clash gets the next free suffix, like CL2.
Frequently asked questions
- How do I set up a project budget cap in TimeTracker?
- You can set project limits by hours or cash amounts. Learn more on our project management page.
- Can I track task milestones within projects?
- Yes, you can split projects into task milestones. Read about categorization on the features hub.
- Can I lock project entries after invoicing?
- Yes, locking project records prevents edits. For detail logs, see the timesheets page.
- How do project financials sync with billing?
- Billable entries combine to compute project margin. Read details on the billing page.
- Can I share progress dashboards with my clients?
- Yes, shared portals display live project reports. Find details on our reports page.
- Does project tracking support multi-currency values?
- Yes, you can track rate properties by project. Learn about overrides on the rates page.
- Can I import project tasks from Asana or Jira?
- No. There is no Asana, Jira or Trello integration and no task importer, so existing boards have to be recreated here. What can speed that up is a project template, which sets up the sections and tasks you use every time. Task ids do follow the JIRA-style shape, like NW-142.
- Does it have a Gantt chart or timeline view?
- No. There is a kanban board and a section-grouped task list, and tasks can depend on each other, but nothing draws a Gantt or timeline. If a dated bar chart of the plan is what you need, this is the wrong tool and a dedicated project suite is the honest answer.
- Can I add custom fields or build automations?
- No to both. Tasks carry a fixed set of fields, and there is no rules or automation builder, so nothing moves a card or assigns work by itself. Those two are the clearest gaps against a full project platform, and worth checking before you switch.
- Is project budgeting included in the free tier?
- Basic project logs are free, while budget caps require upgrades. See the pricing page.
