TimeTracker

Bill for every hour you earn

What it does

What this feature does

What it is

Billing works best when the choice is made up front. With TimeTracker your team marks each entry billable or non-billable as they log it. Managers approve the timesheets, and the billable hours flow into a report you can bill from. No sorting through a messy spreadsheet at month end.

Who needs this

Splits billable from non-billable time at the moment of entry, so billing reports need no cleanup later.

Setup

How to set up how you bill

Set the project billing method

A project is hourly, fixed fee, or not billable at all. That choice drives everything after it.

Add the budget if there is one

A fixed fee holds one agreed amount. A retainer is the same thing set to renew each month.

Let your team flag each entry

Billable or not is marked as the hours are logged, so nothing has to be sorted out later.

Check the billable total

Billable value is the rate on the entry times the hours, using rounded time when rounding is on.

For owners and admins

What admins and owners see

See each model side by side

A retainer shows hours used against the monthly pot, and a fixed fee shows spend against the fee.

Watch the hourly work add up

Hourly projects show the billable total for the month, so you can see the trend before month end.

Non-billable stays visible

Internal work is still tracked. It just never turns into a line a client can be charged for.

For your team

What your team sees day to day

One switch per entry

Marking an entry billable is a single choice made while logging it, not a separate review job.

The rate is not your problem

You never type a rate. It is worked out from settings and copied onto the entry when you save.

A worked example

One client, three ways to bill

A retainer has used 32 of its 40 hours this month, so 8 hours are left in the pot. A fixed fee project has used $12,000 of a $20,000 fee, leaving 40% of it. The hourly work has reached $6,400 billable this month, up 18% on last month.

Good to know

Limits and edge cases

  • A project is hourly, fixed fee, or not billable. There is no per entry billing method.
  • Rounding only changes the billable figure. The exact time you logged is always kept as well.
  • A retainer counts against its own month, so hours do not carry over by themselves.
  • Marking an entry billable does not bill it. It still has to be approved and put on an invoice.
