What has to be on an invoice
An invoice is a request for payment, and it only works if the person paying can act on it without asking you anything. That means naming both parties, saying exactly what is being charged for, and giving one unambiguous total with a date attached.
The single most skipped field is the invoice number. Without one, you cannot tell two similar invoices apart, your client's accounts payable system may reject it, and chasing a late payment turns into a conversation about which invoice you mean.
| Field | Why it matters |
|---|---|
| The word Invoice | Tells accounts payable what this document is |
| Invoice number | Unique reference for payment and for chasing |
| Your business name and address | Who is owed the money |
| Client name and address | Who owes it, and which entity to bill |
| Invoice date | Starts the clock on the payment terms |
| Due date | The date you can chase from |
| Line items | Description, quantity, rate and amount for each charge |
| Subtotal and tax | Shows the tax separately from the work |
| Total due | One figure, stated once |
| Payment terms and method | Net 30, and where to actually send the money |
Layout, and the Word question
Keep the layout boring. Your details top left, the client's underneath, the number and dates top right, line items in the middle, total bottom right. Readers scan invoices in that order, and a creative layout only slows down the person about to pay you.
Plenty of people search for an invoice in Word. Being straight about it: this page is a web form, not a .docx download. You fill it in here and print it or save it as a PDF, and you can export the line items to CSV for a spreadsheet. If you specifically need an editable Word file, this is not that.
Template or generator, and what comes after
Use this page when you want to see the shape of an invoice and fill one in. Use the invoice generator when you just want a finished PDF out of it as fast as possible. They cover the same ground from opposite ends.
Both are fine for a handful of invoices a month. What they cannot do is remember anything: no client list, no numbering that continues by itself, and no record of what has been paid. TimeTracker's invoicing builds invoices from approved time instead, allocates the numbers, and tracks what is still outstanding. There is no QuickBooks sync; you export CSV.
If you bill by the hour, the figure you put on the line item should come from tracked time rather than memory. The billable hours calculator works it out from your rate.
Frequently asked questions
Common queries and answers about the invoice template.
- Can I fill this invoice in on the page?
- Yes. Type each line straight into the form, add as many lines as you need, and the invoice total updates as you go. Download the CSV or print it when you are done.
- How is the amount for each line worked out?
- It is the quantity times the rate. Enter both and the amount fills in on its own, so a line of 8 at a rate of 75 shows 600.
- Can I use this for hourly work?
- Yes. Put your hours in the quantity box and your hourly rate in the rate box. The amount is your hours times your rate, and the total is what the client owes.
- Do I need to add tax or my logo?
- This template keeps it to lines and a total. If you want tax, a discount, your logo, and client details, use our invoice generator instead.
- Is my invoice saved?
- No. The form lives in your browser and clears when you close the tab, so download the CSV or print it before you leave. A free TimeTracker account keeps every invoice for you.
