What a time card has to show

A time card needs four things to survive a query: the date, the time in, the time out, and any unpaid break. Everything else is arithmetic on top of those. If one of the four is missing for a day, that day is a guess, and a guess is what a dispute is built on.

Keep the raw clock times even after you convert them. A total on its own cannot be checked. Start and end times can be checked by anyone, including the person whose pay it is.

How overtime lands on a time card

The federal rule is weekly: hours over 40 in a workweek are paid at 1.5 times the regular rate. The calculator uses 40 as the default threshold and applies 1.5x above it, which is what most US employers run.

Some states add a DAILY rule on top, and that is what catches people out. California pays overtime past 8 hours in a single day, so you can work 38 hours in a week and still be owed overtime for a long Tuesday. Check the overtime calculator for the state rules before you trust a weekly total.

Rounding clock times, and when it is fair

Plenty of employers round punches to the nearest quarter hour. In the US that is allowed, but only if the rounding is neutral over time. Rounding every clock-in up to the next quarter and every clock-out down is not neutral, and that is wage theft with a tidy spreadsheet around it.

The practical test is whether the rounding ever pays you more. If it only ever pays you less, something is wrong. Compare the rounded total against the raw one for a couple of weeks and see which way the difference runs.

How does the time card calculator handle breaks?
Enter break time in minutes for each day. It is subtracted from the gap between your start and end times, so the hours shown are paid working hours only.
Does it calculate overtime?
Yes. Set the weekly overtime threshold (40 hours by default). Hours above it are paid at 1.5x your hourly rate in the gross pay figure.
Can I work past midnight?
Yes. If the end time is earlier than the start time, the calculator assumes the shift crossed midnight and counts the hours correctly.
Is this calculator free?
