From hours to gross pay
Payroll starts with two numbers per person: how many hours at the regular rate, and how many at the overtime rate. Multiply each, add them, and that is gross pay for the period.
The split is where it goes wrong, not the multiplication. Hours over 40 in a workweek are federal overtime at 1.5 times the rate, and overtime is counted per workweek rather than per pay period. On a semi-monthly or monthly cycle a single week can sit across two payslips, and paying both halves at the base rate quietly underpays the overtime.
So work out the split week by week first, then total the period. Doing it the other way round hides the overtime entirely.
This is gross, not take-home
Most people searching for a payroll calculator want the figure that lands in the bank, and this is not that figure. Gross pay is what you earned. Take-home is what survives federal income tax withholding, FICA at 7.65%, state and sometimes city tax, plus whatever comes out for retirement and health cover.
Getting take-home right needs filing status, dependents, pre-tax deductions, your state and whether the Social Security wage base has been reached. None of that is on this page, and a calculator that guesses at it hands you a confident wrong number about your own paycheck.
What gross pay is good for is the number payroll actually needs from you: agreed hours at agreed rates, split correctly between regular and overtime.
Hours payroll can rely on
The weak link is rarely the arithmetic, it is where the hours came from. Numbers reconstructed from memory the night before payday are the ones that get queried, and a query means someone recalculating a fortnight by hand.
The fix is a record built as the work happens, with a sign-off. Timesheets compare worked hours against expected hours and route each period to an approver, and approved hours, leave and balances export to CSV. Worth saying plainly: that is a CSV file, not a connection to a payroll provider.
