Four tools, four blind spots
- Hours never get logged, so client work goes unbilled
- Timesheets lock too early, so every fix turns into an email thread
- The wrong rate lands on the invoice, so someone redoes it by hand
- Cost and salary numbers sit where the whole team can see them
The leaks close when time, budgets, rates, and approvals all live in one place.
See how it fits together →How billing works, step by step
TimeTracker takes you from logged hours to a finished invoice. Nothing gets typed twice.
Track time
Log hours against a task. Your rounding rules apply on their own.
Approve logs
Submit weekly cards, lock the dates, and send entries back for fixes.
Calculate rates
The right rate is picked for you. The most specific one always wins.
Bill clients
Send an invoice with exact totals, then export the figures for your accounting tool.
Built to keep your team billing accurately and getting paid on time
Keep clients informed without creating more admin work
Share approved hours, project progress, budgets, files, and invoices through a clear client-facing view. Clients always know what is happening without chasing your team.
Learn more about client portals→Free your team to focus on client work, not administration
Cut the admin work. Reminders nudge whoever forgot to log, calendar events turn into suggested time entries, and saved workflows keep entries clean.
Learn more about timesheet automations→See the true margin of every task, not just the project
Estimate, tracked time, billable value, labor cost, and margin all live on the same task record. Watch profitability update as hours are logged, and catch a task slipping before it drags the whole project down.
Learn more about task financials→Approve timesheets without chasing anyone
Logged hours go to the right approver on their own. Once a week is signed off, lock it. The numbers you bill from cannot change behind your back.
Learn more about timesheet approvals→Bill the right rate every time with a 5-tier resolver
Rates resolve most specific first. Task, then project member, then person, then client, then your workspace default. The right billing rate gets applied for you. Cost rates and billing rates stay separate, and you can switch currency without typing anything again.
Learn more about the rate resolver→Turn approved hours into a sent invoice in one click
Approved billable time becomes itemized invoice lines with exact totals, tax, and multi-currency support. No spreadsheet retyping. Review it, finalize it, send it.
Learn more about invoicing→Every hour flows straight through to getting paid
Track, approve, rate, invoice, paid. The same billable value moves through every step with no manual hand-off. Nothing is entered twice, nothing leaks between tools, and every dollar traces back to the work that earned it.

Rules that catch mistakes
Entries get checked against your rules as people make them. Late or backdated submissions are blocked before a timesheet locks.
Automatic rounding
Round to the nearest 15 minutes, or whatever the client contract says. It happens when the timesheet is submitted.
Approvals and send-backs
Approve a week in one click. Reject an entry and it goes straight back to that person to fix, with your note attached.
Questions teams ask before moving their billing over
The practical details on switching, rates, and what your clients can and cannot see.
Still have questions? Talk to us→- How long does it take to switch from spreadsheets or another tracker?
- Most teams are live in an afternoon. Import your people, projects, and rates, then start logging the same day. You can run TimeTracker alongside your old process for a billing cycle before you cut over.
- Will my team actually use it?
- Timers start from the task a person is already working on, so logging takes seconds, not a weekly catch-up. Managers approve or send back cards from one weekly view, so nobody chases timesheets over email.
- How does the 5-tier rate system decide which rate applies?
- Rates resolve by most-specific-wins. A rate set on a person for a specific client beats a project rate, which beats a role default, which beats your account default. You always see which tier produced the number on the invoice.
- Does it work with QuickBooks and our existing invoicing?
- It builds the invoice, but it does not connect to QuickBooks. Approved time compiles into invoice lines with exact decimal totals, and you export to CSV to bring the figures into whatever you bill from. There is no direct QuickBooks sync today.
- Can clients see our internal costs or margins?
- No. The client portal shows only the progress and time data you choose to share. Labor costs, margin indicators, and budget alarms stay on the internal side and are never exposed to client accounts.
- Can staff clock in and out, like a time clock?
- Yes, from the web or their own phone. There is no kiosk mode, so a shared tablet by the door is not an option and everyone signs in as themselves. You can require a job site location on clock-in, so hours are tied to where the work happened. See the time clock app.
- Does it handle employee scheduling as well as time tracking?
- No, there is no shift scheduler and no rota builder, so next week's shifts get planned somewhere else. What you can do is set the hours you expect from someone. Timecards then show worked hours against those expected hours, so you can see where the two do not match.
- Is it cloud based, or do we install something?
- It is cloud based, so there is nothing to install and nothing to run on your own server. It works in any browser, and there are iPhone and Android apps for people who clock in away from a desk. Everyone sees the same data as soon as it is saved.
- What does it cost?
- Per active user, billed monthly or yearly, with every billing and approval feature included on each plan. Start free, and add your team once the numbers add up.
