See where the time really goes

What it does

What this feature does

What it is

Reports and dashboards turn logged hours into answers. You can see hours by client, project, or team member, and tell which work makes money and which runs over budget. Instead of pulling numbers into a spreadsheet by hand, you open a view and get the picture right away.

Who needs this

Turns raw time entries into client and project views, so you see profit and overruns without building a report by hand.

Setup

How to set up reports & dashboards in TimeTracker

Open the report directory

Each report kind is listed with a short description of what it covers, so you can pick one.

Narrow it with filters

Filters are simple field and value conditions you stack up until the report shows your slice.

Save the view

Give the filter set a name and it comes back next time, kept against your own account.

Export what you need

A report can be exported so the same numbers can go into a spreadsheet or to an accountant.

For owners and admins

What admins and owners see

Pick the dashboard for the role

There are separate dashboards for an owner, a project manager and a member, each with its own scope.

Money stays behind permission

The project manager dashboard works on budget percentages only, so it can show health without cost.

Saved views cannot be faked

The report scope is set by the server, so a task filter cannot be passed off as a report view.

For your team

What your team sees day to day

Your dashboard is only yours

A member dashboard reads your own tasks, your running timer and your own hours, and nothing else.

Search finds what you can see

Search covers clients, projects, tasks and people, always filtered to what your role is allowed.

A worked example

Where a month of hours went

A utilisation report for the month shows 128 billable hours against 44 internal hours. That is a 74.0% utilisation rate, and at the $95 workspace base rate the billable value comes to $12,160. A stronger month at 142 billable hours reads 82.0% and $13,490.

Good to know

Limits and edge cases

  • A saved view stores the filters only. The grouping you picked is not kept with it.
  • A member dashboard cannot be pointed at somebody else. It is always scoped to you.
  • Reports read what your role allows, so two people can run the same report and see different totals.
  • Cost figures are left out of the project manager dashboard on purpose.
