Configure custom rates for every agreement
What this feature does
Rates shape your revenue flow. Our billing engine lets you set baseline rates, project overrides, or role-based pricing for designers, developers, and consultants. When a timer stops, the correct billing amount is resolved automatically, matching your client agreements perfectly.
Resolves rates hierarchically from workspace defaults to project, role, and member overrides automatically.
How to set up rates in TimeTracker
Open the rates roster
Open Settings and then Rates. Every member is listed with the rate that applies today.
Add a billing rate
Enter the rate and the date it starts from. Rates are added on top, never overwritten.
Add a cost rate
Owners and admins get a second tab for the internal cost of a person's time.
Check what it will bill
The resolver shows which tier won, so you can confirm a rate before the work starts.
What admins and owners see
See which tier won
The resolver walks task, project member, person, client and workspace base, then shows the one it used.
Read the full history
Every change is a new row with its own start date, so you can see what applied last quarter.
Cost stays with owners
The internal cost rate is visible to owners and admins only, on every screen that shows money.
What your team sees day to day
Your rate is set for you
Rates live in settings. There is nothing about a rate to fill in on a time entry.
The rate is frozen on the entry
Saving an entry copies the rate onto it, so a later rate change never rewrites work you already did.
Popular features
Employee time tracking your team will actually use
One click starts a timer, or people type hours in by hand. Every entry ties to a client, project, and task, so the record stays clean.
Explore Time Tracking→See where the time really goes
Break hours down by client, project, and team member. Find the work that pays off and the projects that run over.
Explore Reports & Dashboards→Keep projects on track and in budget
Define project phases, set budget caps, and track work progress in real-time. See margins and utilization without building reports manually.
Explore Project Management→Timesheets your team submits on time
Hours build into a timecard as people work. Send the week for approval, lock it once it is signed off, and bill from a number that cannot quietly change.
Explore Timesheets→Invoicing software that bills from tracked hours
Approved time turns into itemised invoice lines with tax and multiple currencies handled for you. Check it over, then send it.
Explore Invoicing→Bill for every hour you earn
Mark each entry billable or non-billable while you work. Approved hours roll straight into reports you can bill from.
Explore Billing→Expense management software built for client work
Log a cost against the project it belongs to, attach the receipt, and send it for approval. Approved expenses go on the client invoice.
Explore Expenses→A worked example
Five tiers, one resolved rate
A task rate of $180 is set on the work. The person rate is $150, the client rate is $130, and the workspace base is $95. The task rate wins, so the entry bills at $180/h against a cost of $70/h. The same entry in euros resolves to €166/h.
Limits and edge cases
- Rates are append only. There is no edit or delete, so a fix is a new row with a new start date.
- Two rates saved on the same day land on one start date, and the later save is the one that counts.
- Cost sits on the person only. There is no task level or project level cost rate.
- When no tier matches, the rate comes back as unset rather than as zero.
Frequently asked questions
- How do client hourly rates work in TimeTracker?

- How does the rate resolution engine resolve billing values?
- The system resolves rates hierarchically from defaults. Learn about billable time on our billing page.
- Does the rate engine support multi-currency values?
- Yes, you can define rates in different currencies. See invoicing details on the invoicing page.
- How do rate settings affect project margins?

- Can I view historical rate modifications in dashboards?

- Billing data leaves as a CSV export, not as a QuickBooks or Xero sync. See what does connect on our industries hub.
- Is the rate hierarchy manager available on the free plan?
