Configure workspace preferences to match your workflow
What this feature does
Make the platform work the way your agency works. Our comprehensive administration settings give you deep control over every aspect of the workspace, from global currencies to specific time-rounding rules.
Set global policies for approvals and period locking that perfectly align the software with your agency's operational rules.
How to set up your workspace basics
Name the workspace
The general settings screen holds the workspace name and the basics everything else reads.
Set your formats
Pick the date and time format, the week start and the base currency for the workspace.
Set the invoice sender
The sender block is the identity that prints at the top of every invoice you send.
Turn on the controls you want
Switch on timesheet approval, choose a rounding step, and decide whether past periods lock.
What admins and owners see
Settings are grouped by job
Time policies, rates, expense categories, notifications, team, export and billing each have a screen.
Every change is logged
Changing a setting writes an audit entry naming the fields, so a surprise can be traced.
Serious actions ask you to type it
The riskiest confirmations make you copy a matching name first, so nothing goes by a stray click.
What your team sees day to day
Dates read the same everywhere
Your workspace format is used across every screen, so a date never means two things.
You will not see settings
Most settings screens are limited by role, so a member simply does not get them in the menu.
Popular features
Employee time tracking your team will actually use
One click starts a timer, or people type hours in by hand. Every entry ties to a client, project, and task, so the record stays clean.
Explore Time Tracking→Bill for every hour you earn
Mark each entry billable or non-billable while you work. Approved hours roll straight into reports you can bill from.
Explore Billing→See where the time really goes
Break hours down by client, project, and team member. Find the work that pays off and the projects that run over.
Explore Reports & Dashboards→Expense management software built for client work
Log a cost against the project it belongs to, attach the receipt, and send it for approval. Approved expenses go on the client invoice.
Explore Expenses→Invoicing software that bills from tracked hours
Approved time turns into itemised invoice lines with tax and multiple currencies handled for you. Check it over, then send it.
Explore Invoicing→Keep projects on track and in budget
Define project phases, set budget caps, and track work progress in real-time. See margins and utilization without building reports manually.
Explore Project Management→Configure custom rates for every agreement
Manage complex billing agreements with ease. Set client rates, assign member role pricing, and handle multi-currency projects with zero confusion.
Explore Rates→Timesheets your team submits on time
Hours build into a timecard as people work. Send the week for approval, lock it once it is signed off, and bill from a number that cannot quietly change.
Explore Timesheets→A worked example
Four settings that shape everything
Northwind Studio starts its week on Monday and works in USD. Time rounding is set to 15 minutes, so billable time lands on the quarter hour. Timesheet approval is switched on, while locking past periods is left off for now. Saving records the change.
Limits and edge cases
- Changing rounding affects new billable figures. It does not go back and redo old entries.
- Closing a period cannot be reversed from that screen, and only an owner or admin can do it.
- Most settings screens need owner or admin permission to open.
- The workspace currency is the base everything converts against, so changing it later is disruptive.
Frequently asked questions
- Can I set a default currency for my workspace?
- Yes, you can set a base currency for all reporting, while still having the flexibility to invoice specific clients in foreign currencies.
- How does time rounding work?
- Administrators can configure the system to automatically round time entries up or down to the nearest 5, 10, or 15-minute increment.
- Can I change the start day of the week?
- Yes, you can configure your workspace week to start on Monday, Sunday, or any other day that aligns with your payroll cycle.
- What are period locking rules?
- Period locking allows admins to automatically freeze all timesheets prior to a certain date, preventing accidental edits to past accounting periods.
- Can I customize the timesheet layout?
- Yes, you can configure whether your team sees daily, weekly, or bi-weekly timesheet views by default.
- How do I manage workspace branding?
- You can upload your company logo, set your primary brand colors, and configure a custom subdomain for your client portal.
- Can I enforce 2-Factor Authentication?
- Yes, security administrators can mandate that all users in the workspace enable 2FA on their accounts.
- Are there limits on administrative settings?
- Most administrative settings are available on all tiers, though advanced security and SSO configurations require an Enterprise plan.
- Can I have multiple workspaces?
- Yes, you can create and manage multiple isolated workspaces under a single user account, which is useful for holding companies.
- Who has access to the Administration settings?
- Only users explicitly granted the 'Workspace Admin' role can view or modify global administration settings.
