Clockify is a time tracking app that lets a team log hours with a timer or type them into a weekly timesheet, then turn those hours into reports and invoices. It is made by CAKE.com and is best known for its free plan. Until April 2026 that free plan had no user limit at all. It now stops at 5 people, and shared reports, billable rates and shared-device clock in moved to the paid tiers.

What Clockify does, feature by feature

The list below covers what you get and which plan you need for it, because a lot of what people think is free now sits behind a paid tier.

Timers, apps and extensions

Start and stop a timer, or type the hours in later. Clockify runs in a browser, on Windows and Mac, on iPhone and Android, and as a Chrome or Firefox extension that puts a timer button inside other tools. The desktop app adds an auto tracker that records which programs you used. All of it is on the free plan.

Weekly timesheets

Fill in a grid of projects down the side and days across the top. You can copy last week forward, which saves a lot of typing when your week rarely changes. Free plan users get this too.

Reports and dashboards

Summary, detailed and weekly reports break hours down by person, project and task. Since April 2026 the free plan caps reports at a one-month date range and you cannot export them, so most teams that report monthly need a paid plan.

Timesheet approvals

Someone submits a week and a manager approves it. This needs the Standard plan or higher. On the free plan there is no submit and approve step at all, so hours just sit there.

Scheduling and time off

Clockify can build shift rotas and track leave requests and balances. Both are paid features. Scheduling and capacity planning sit on Pro, and time off starts on Standard.

GPS and expenses

Log where a mobile entry was made, and record costs against a project so you can bill them on. Both need the Pro plan, along with labour cost tracking and forecasting.

Invoicing and integrations

Turn billable hours into an invoice, and push it to QuickBooks. Invoicing needs Standard. The integration list is over 100 apps and is unusual in that free users get it too, which is a genuine strength.

Shared-device clock in

A tablet by the door that a whole crew punches into with a PIN or a QR code. This used to be free. The April 2026 change moved it to the paid plans, which caught out a lot of small sites running it on a spare tablet.

What is Clockify used for?

Is Clockify free?
Yes, but only for up to 5 people since April 2026. Before that the free plan had no user limit, which is why many reviews still say it is unlimited. The free plan covers timers, timesheets, projects and over 100 integrations. It does not cover approvals, invoicing, billable rates, shared-device clock in, or report exports, and free reports are capped at a one-month range.
How much does Clockify cost per month?
Paid plans start at $4.99 per user a month on Basic and run to $14.99 on Enterprise, billed monthly. Paying yearly takes about 20% off. Standard adds approvals, invoicing and time off. Does Clockify take screenshots?
Not by default, and not on most plans. Screenshots are a Pro and Enterprise feature, they only work on the Windows and Mac desktop app, and an admin has to switch them on. Once on, the app captures the screen every few minutes while the timer runs. If nobody turns it on, Clockify never takes one. TimeTracker has no screenshot feature at all.
What are the disadvantages of Clockify?
The main one is that the free plan shrank. It went from unlimited users to 5 in April 2026, and shared-device clock in, billable rates, shared reports and private projects moved to paid tiers at the same time. Free reports are now capped at one month and cannot be exported. Approvals and invoicing need Standard, and GPS and expenses need Pro, so the real cost is higher than the headline $4.99.
Does Clockify work offline?
Yes. The desktop and mobile apps let you track time without a connection and sync it once you are back online. This is a genuine advantage over TimeTracker, where a clock-in needs a connection. If your crew works in basements, tunnels or remote sites, weigh that heavily.
Does Clockify do shift scheduling?
Yes, on the Pro plan. Clockify can build rotas and plan capacity alongside tracking hours, so one tool covers both jobs. TimeTracker does not do this. We track hours against expected hours, but we have no rota builder, so a team that needs one should stay with Clockify or look at a scheduling-first tool.
Can you track time off in Clockify?
Yes, from the Standard plan up. You get leave requests, approvals and balances. It is not on the free plan. If leave policies with real accrual matter to you, our time off tracking comes with our one paid plan, with no higher tier above it.
Does Clockify integrate with QuickBooks?
Yes. Clockify connects to QuickBooks and to more than 100 other apps, and the integration list is open to free users, which is unusual. TimeTracker does not connect to QuickBooks. We export timecards and leave to CSV and you import that file yourself.
Is Clockify safe to use?
Yes for normal business use. It is run by CAKE.com, an established software company, and it offers the usual account controls and roles. The thing worth checking is not safety but visibility: on Pro and above an admin can switch on screenshots, so ask your employer what is enabled before you assume nothing is being recorded.
Who is Clockify best for?
Solo freelancers and teams of roughly 5 to 200 who need straightforward tracking and billing without complex approval chains. It fits badly when hours get audited, when you round billable time and need the raw figure kept, or when clock-ins must come from an approved location.
