Attendance Sheet Template
Fill in your team's attendance right on this page. Add a row for each person, mark them present, absent, or on leave, and log the hours. The total adds up in decimal as you go. Download the CSV or print it. No sign-up and nothing to install.
Mark each row Present, Absent, or Leave, and log the hours worked. Hours total in decimal, so 7 hours 30 minutes is 7.5. That is the number payroll wants.
What an attendance sheet records
An attendance sheet answers whether someone was here, not how long they worked. That is the difference between it and a timesheet, and mixing the two is why sheets end up with columns nobody fills in.
So keep it to names down the side, dates across the top, and one mark per day. If you also need hours, that is a timesheet, and it wants its own grid.
The codes, and why they matter
Almost every attendance sheet uses single-letter codes, and almost every team invents slightly different ones. Write your key on the sheet itself. A column of L marks means nothing in six months when the person who chose the letters has left.
The one distinction worth keeping strictly is absent versus approved leave. Both mean the person was not there; only one is a problem, and a sheet that blurs them is useless for the conversation it exists to support.
| Code | Meaning | Counts against attendance? |
|---|---|---|
| P | Present | No |
| A | Absent, not approved | Yes |
| L | Late arrival | Usually, past a grace period |
| S | Sick day | Depends on your policy |
| V | Vacation or approved leave | No |
| H | Public holiday | No |
| WFH | Working remotely | No |
Attendance policy, and when a sheet stops coping
A sheet only settles arguments if the rules were written down first. Say what counts as late, how much notice an absence needs, and how many unapproved days trigger a conversation. Without that, the sheet records facts nobody agreed the meaning of.
The practical limit is one person keeping it. Marks get added from memory days later, and a paper sheet on a wall cannot tell you who was late three times last month without someone counting by hand.
Past that point you want the record to build itself from clock-ins. Time and attendance software stores each session as it happens and flags late starts and short days while the period is still open, and approved leave lands in the same record through time off.
Frequently asked questions
Common queries and answers about the attendance sheet template.
- Can I fill this attendance sheet in on the page?
- Yes. Type straight into the grid, add a row for each person or day, and the hours total updates as you go. Download the CSV or print it when you are done.
- What do I put in the Status column?
- Type Present, Absent, or Leave. It is a plain text box, so you can also use short codes like P, A, or L if that suits your records better.
- Why are the hours shown as decimals?
- Payroll is worked out in decimal hours, not hours and minutes. So 7 hours 30 minutes is 7.5, and you can multiply it by a pay rate without any extra math.
- Is my attendance sheet saved anywhere?
- No. The grid lives in your browser and clears when you close the tab, so download the CSV before you leave. A free TimeTracker account keeps every day for you.
- Does this work for a whole team?
- You can list a whole team in the grid, one row per person. To track it day after day without retyping, TimeTracker records clock-ins, marks time off, and totals the hours for you.
